Pass on the address of the dashboard. Whoever opens it sees the data of today, not the state of last Thursday. What the link actually shows follows the permission of the person, not the link itself.

  1. Step 1: Choose the figure

    Open the dashboard and pick the KPI that matters: delivery times, margin, open items. An alert sits on one number, not on the whole board.

  2. Step 2: Say what deviating means

    A limit, a range, a distance from the value you expect – you fix the condition that should produce a message. As long as it is not met, nothing is sent.

  3. Step 3: Name the recipients

    Who hears about it, and at which address. One person for a figure only they act on, the whole team where the reaction is a joint one.

  4. Step 4: Let it run with the refresh

    The condition is checked against freshly read data. Change the threshold, add a recipient or switch the alert off again – the dashboard underneath stays as it is.

What the recipients ask first

Does a link hand access to everyone?

No. The link points at the dashboard; whether it opens depends on the permission the person holds. Who may see which data is decided once and applies on every route – link, email and export alike. How that is organised is described on the security page.

What exactly arrives in a scheduled email?

The dashboard as a PDF or an Excel file, at the time you set. Recipients read it without signing in, and for anyone with access the live board is one click further on.

Can we talk about a figure without writing a separate mail?

Comments sit on the chart itself. Question and answer stay where the number is, so the colleague who opens the board a month later finds the reason along with it.

Will alerts fill up our inboxes?

An alert is checked against refreshed data, so it can report no more often than the refresh schedule allows. Each alert belongs to exactly one figure and one condition, and each one can be switched off on its own.
